How BaiTech handles data

Who we are

Information submitted on this website

If you use the founding-customer enquiry form, we receive the name, email address, phone number, trade and any notes you choose to provide. Those details are sent to the BaiTech inbox so we can reply. The form does not write a lead record into the BaiTech enquiry database, and we do not use the details for unrelated marketing.

Information processed by the BaiTech service

When a business connects an enquiry channel, BaiTech processes the information needed to provide the service. This can include sender details, message text, subject, timestamps, attachments, voicemail recordings or transcriptions, extracted job details, the business profile and the reply draft.

Enquiries and drafts are stored in the business's BaiTech workspace so they can be reviewed. Uploaded media is kept in private storage and shown through time-limited links. The business can delete drafts from its dashboard and can ask us to delete associated data.

Why we use information

• To receive, classify and organise enquiries for the connected business.
• To extract useful job details and prepare a grounded reply draft.
• To show drafts in the dashboard and notify the business about new enquiries.
• To keep the service secure, prevent abuse and troubleshoot failures.

Service providers

BaiTech uses carefully selected providers to run the service. Depending on the channels a business enables, these may include Supabase for the database and private media storage, OpenAI for classification, extraction, transcription or image descriptions, Gmail for notifications, and Postmark, Twilio or Meta for connected inbound channels. They receive only what is needed for the relevant function and are not authorised to use it for BaiTech's advertising.

Analytics and cookies

The public website uses Google Analytics 4 to understand visits and which links are useful. Analytics is off by default and loads only after you choose Allow analytics. Your choice is saved in your browser, and you can change it using the Cookie settings control. If you decline, we do not load the analytics tag.

Retention and deletion

We keep information only for as long as it is needed to provide the service, meet security or accounting obligations, or resolve a request. The application does not use enquiry content for a separate marketing database. Because retention can depend on the business using BaiTech and its connected providers, there is not currently one universal automatic deletion period. Email ben@baitech.co.uk to request access or deletion.

Security

BaiTech uses authenticated access, tenant separation, row-level database permissions and private media storage. No internet service can guarantee absolute security, so please avoid sending information that is not needed for the enquiry.

Your rights

Depending on where you live, you may have rights to access, correct, delete or restrict use of your personal information, and to object to or withdraw consent for certain processing. Contact us first at ben@baitech.co.uk. UK users can also contact the Information Commissioner's Office if they are unhappy with how a concern is handled.

Changes to this policy

We may update this page when the service or its providers change. The date at the top shows when it was last revised.
